Managing invoices

 

Invoices is the section where you’ll manage all your long term camper rent and utility payments. You can filter by invoice status, add meter readings and action invoices in bulk, or edit invoices individually.

 

Status definitions:

  • All Invoices: A collective category encompassing every invoice regardless of its individual status.
  • Draft: An invoice that has been created but not yet sent. Usually this requires meter readings to be entered before sending to your campers.
  • Outstanding: An invoice that has been issued to the camper and is currently awaiting payment.
  • Past Due: An invoice that has not been paid by the due date and is now overdue.
  • Paid: An invoice that has been fully settled and no outstanding payment remains.
 

Steps:

Editing Meter Readings:

  1. Go to the Park dashboard and click on the Invoices tab.
  1. Access pending invoices in the Drafts section.
  1. Find the desired invoice and click on the "Edit Meter Readings" button.
  1. Modify the KWH (Kilowatt-Hour) for the relevant site; modified sites will be automatically highlighted.
  1. Click the Blue Save button to save the updated meter readings.

Sending Invoices:

  1. After editing meter readings, click on the "Send Invoice" button.
  1. Review the invoice details in the pop-up window and ensure accuracy.
  1. Click "Send Invoices" to email the invoice to the camper.

Managing Past Dues:

  1. Navigate to the Invoices section and go to the Past Due tab.
  1. View campers with an Overdue status listed.
  1. Check the box next to the amount to highlight all overdue campers.
  1. Click the Message button to communicate with campers.
  1. Choose email or text to remind them about overdue payments.
  1. Click Send to dispatch the message.

Manually Marking Campers as Paid:

  1. In the campers' table, find the camper with the overdue status.
  1. Click the three dots (...) next to their entry.
  1. Select "Mark as Paid" to manually update the camper's payment status.
